Share OneDrive files and folders with others

As mentioned above, you can share your OneDrive files and folders with people you know who you don’t know. You have complete control over what other people can access and view.

Here’s how to do that in Windows 11.

First, make sure you set up OneDrive on Windows. Then, confirm that you can access your OneDrive files and folders via File Explorer.

Select the file or folder you want to share in File Explorer and click the Share button.

Another way to share files and folders via File Explorer is to right-click on a file or folder and select OneDrive -> Share.

You can also click on the Share button on the context menu.

When you click the Share button on the command, it will open a Share pop-up window.

On the window, under Send link, choose the following options:

  • Name / Email addresses of people to receive notifications and access/edit the documents.
    • Can edit (Make any changes)
    • Can view (Cannot make changes)
  • Message box to type a message to the recipients
  • Copy link (edit/view)

For people in your contact list will be referenced by names. For those who are not on your contact list, you must type their email addresses.

Select the dropdown caret (arrow) to choose what access the recipients should have.

  • Can edit – Recipients can view, copy or download your items without signing in. They can also forward the link to other people.
  • Can edit – Recipients can edit files and folders and add or delete files in a shared folder. They can also forward the link, change the list of people sharing the files or folder, and change permissions.

You will see more Sharing options when you click on Anyone with a link can edit.

Share the link with the following:

  • Anyone (Doesn’t require sign-in)
  • Specific people (group, family, and other emails)

Recipients can edit or view only.

For premium accounts, they can set a date that the link can expire, and recipients will no longer have access to the documents.

Optionally, passwords can also be set so only those with the current password can view or edit the documents.

After all the sharing options have been selected, click the Share button or Copy to copy the link to share with the people you want to share with.
